Program & Project Management

Program Management Dashboard

The Program Management Dashboard presents a rollup view of Program health, data quality and completeness as well as the Insight Scores per project enabling light-touch ‘management by exception’. It also includes an ‘Insight Control Centre’ for managing and adjusting the metrics set in the insight engine. It allows the creation of ‘Watchlists’ and the ability to assign actions to projects for remediation of specific issues. Actions sent can be reviewed for recipient acceptance, rejection or non-activity and can be edited, resent or challenged with commentary and full audit trail in a ‘hand-shake’ transaction.

Execution Dashboard

The Execution Dashboard presents a personalized view of the Insight Scores for all projects assigned to a Project Manager with clear representation on the gaps that require attention. Surfacing of key insights at this level allows a full understanding of responsibilities in improving data, while providing a collaborative environment to achieve the behavioral changes required. The Dashboard lists all actions against a Project Manager and/or his projects. Actions can be accepted, acknowledged or rejected with commentary and full audit trail enabling a ‘hand-shake’ transaction.

Reporting

  • All project and program data in the tool is represented graphically in a reporting format.
  • All content reflected on the site can be exported to PDF.
  • The Program Dashboard view can be filtered on any one of 30+ criteria through the use of Watchlists and can be exported to PDF or Excel.
  • The Program Roadmap represents key milestone deliverables for all the projects in the Program with RAG status, by Root Cause and a RAG trend analysis over the past 30 days

Insight Metrics

Insight metrics allows our clients to leverage Reputation Capital in the community, promoting transparency and accountability on task completion. Managing by exception, outliers are easily identified and remediated. Focusing on the implementation of simple ‘Insight’ metrics for quality and completeness, foundational areas of concern can be addressed first.

Metrics are determined according to the organizations maturity and focus areas. Projects are assessed against these defined metrics, which is represented through an ‘Insight Score’ against the project. Insight Scores aggregate up to program level for top down actions. "Dashboard" views are available from both a Program Management perspective and an Execution (Project Manager) perspective allowing simple and easy collaboration in managing project and program information and performance.

These metrics and measures not only provide a clear ‘blueprint’ against which to gauge the rate and degree of overall success, but more importantly, they provide automatic insight into where future problems are most likely to occur through root cause analysis and mapped dependencies minimizing the need for managements manual action or intervention.

Real-Time Lead Indicators

Build an ecosystem of mapped dependencies across meetings, projects, systems, resources, locations and any other pre-defined values for significantly improved up and down stream impact analysis and pro-active mitigation.

Real-Time Lead Indicators

On average, Lejara clients implement their ERP software in 10% less time and at 30% less cost than those that do not leverage our guidance.

SAP ERP and other SAP Related Product Upgrades

SAP like any other software evolves with time as new release and additional functionality is added and made simpler and simpler for the end users. Upgrades just like any implementation if not properly planned can cause frustrations and even downtime leading to losses.

Our unique approach to upgrades both functional or Technical ensures that our clients have a peace of mind knowing that there will be no interruptions to operations once the upgrade is completed.

Post Implementation Support

Lejara has designed a two pronged approach to post SAP implementation support

[A] Support for newly installed SAP ERP Environments

Lejara has extensive experience in supporting SAP Implementations. We offer a unique approach to our clients that ensures knowledge transfer and capacity building for the client so that the total costs of ownership for the SAP environment are drastically reduced during the support period and beyond.

This approach is contrary to the traditional support approach of many organisations that seeks to entrench dependency rather than empowering the clients to be self-sufficient in the support environment for both end user and super user level. Lejara have developed the SEO Methodology that sustains, embeds and optimises the newly implemented ERP.

[B] Support for established SAP ERP Environments

Lejara has extensive experience in supporting SAP Implementations. In this instances we offer tired support where the 1st level is performed by the organisations internal staff. Our SLA’s are structured in a manner to ensure and facilitate reporting and effective management of the support environment.

Quality Assurance during SAP Implementations

Consistent and independent oversight is a primary driver behind ERP success. Lejara offers objective, expert verification and validation of all aspects of an ERP initiative. Our industry expertise allows us to monitor and assess any ERP or IT project; our independence allows us to do it without bias or agenda.

Using Lejara’s proprietary WAR ON WASTE™ methodology, our quality assurance service offering is structured as a partnership model with the client. Our model analyses and deliverables provide tangible metrics and suggest alternative approaches to ensure organizations are on the right track to realizing optimal benefits from their enterprise solutions. Rather than just focusing on the quality of the implementation activities, our approach assesses the actual value of those activities and whether or not they contribute to a successful system deployment.

Having an unbiased partner in project ensures success through leadership valuable insight into potential risks, areas for improvement and even “blind spots” in the internal governance and management of the project as well as the work of any contractors.

Post Implement Audits & Benefits Realisation Assessments

Many organisations well after they have gone live, look back and ponder whether any benefits or the intended benefits were indeed achieved from the implementation of SAP ERP or other SAP Related products.

We analyse the business case, the business processes and the overall business blue print. These assessments provide insight into the intended benefits of the implementation. These results are then plotted into a matrix that clearly reveals the “Success Indicator” of the project based on the “WAR ON WASTE” score card for post implementation audits and benefits realisation.

This approach gives leadership valuable QUANTITATIVE insight into:

  • a) Whether the intended benefit were achieved
  • b) What needs to be done to realign with the intended benefits
  • c) What monitoring mechanisms are required to measure and manage befits on an ongoing basis

Lejara has extensive experience in assisting organisations in these self-assessments to ensure that indeed the invest was worthwhile and that the intended benefits are derived.

Resuscitating failed SAP Implementations

There are many case studies that have been written about failed SAP ERP implementations ranging from poor planning, lack of process understanding leading to incorrect configuration, lack of effective testing to ineffective data migration strategies that in the end compromise the integrity of the ERP system.

Lejara’s WAR ON WASTE methodology allows for intricate assessments of these implementations to determine the Point(s) of failure and develop a roadmap to redress the identified failure point(s) in order to achieve the intended benefits and more.

Lejara has developed a “hit squad” approach that ensure in a very short time the projects are resuscitated and organisations begin to see and partake in implementing the new road map and deriving immediate, short term benefits and shaping the way towards the long term intended benefits.

Optimization & Value Realisation

When an implementation goes live, the initial months and years are spent embedding the usage and understanding of the new SAP ERP system. Our independed analysis has proven that true value begins to be derived as of year 2 (where the implementation was successful) and in some cases well into year 3-5.

During this period the organisation matures and users become more and more comfortable with the system. It becomes therefore, a business imperative that additional functionality and automation become a necessary.

Lejara has developed an approach and methodology for unlocking value for organisations from there ERP installation.

Staff Augmentation

Most organizations do not have the internal resource capacity or expertise to handle the complexities and workload of an ERP implementation. To ensure enterprise system operability and success, organizations often need to expand IT teams both in the short- and long-term.

Lejara helps organizations build the best staffing structures available. We are well-equipped to work either in concert with existing HR departments and hiring practices or to create an independent model specific to each client’s needs.

We assist with the following calibre of resources:

End-User Training

Once the complex process of design, configuration and integration of a new ERP systems project is done, it is ultimately up to the end users to ensure that system is used the way it is.

KnowHow is a Learning Platform that integrates training, e-learning, social and mobile learning into one powerful personal and organisational development system – thus ensuring your end users are empowered, competent and effective.

Lejara in partnership with KnowHow has been a leading provider of sustainable learning technology solutions in the South African and international market for 15 years. The KnowHow tool allows you to build and deliver content, schedule training and personal development, and build communities of practice where users can share and build knowledge together.

A successful training program needs to be based on four key elements – Overviews, Processes, Transactions and Roles. Our training philosophy starts with the big picture and drills down to the transactional details.

First, we teach users how the system fits together

We build Overview courses to give users the “big picture” of what the system is, how it fits together, and how it all integrates to change and benefit the organisation.

Then, we explain how the new processes change everything

We use KnowHow’s OneClickBuild to efficiently convert the process design documents into training materials that explain exactly how the new processes work and what each user’s role and responsibility in that process is.

We drill down to show how to enter the system transactions

We use KnowHow’s ShowHow Simulation Tool to build system simulations from the live system to allow users to perfect their transaction skills in a safe and secure and directed environment. Once users can perform a ShowHow simulation in “Test” mode, they’re ready for their SAP login ID!

And finally, we test knowledge and competence through our assessments

KnowHow has multiple assessment modes, meaning users can be tested on their knowledge, their competence and their ability to apply their knowledge in the workplace. Assessments results drive progress and can be used to build certifications and contribute towards SETA approved curricula.

KnowHow is organised around role-based training

To ensure users know exactly what their own responsibilities are, all training is organised according to job roles - so each user has a defined and unique curriculum based on their specific role in the newly designed way of working. This is delivered via each user’s own personalised My Learning page.

  • Users access KnowHow via desktop or mobile devices automatically via Active Directory.
  • Each user has their own training profile with unique goals and content based on their roles
  • As they work through their training they can see their progress bars change colour and go green for success. Administrators can report on their progress at any time via graphical dashboards and analytical reports.

But this isn't all KnowHow offers:

  • Chat forums and wikis encourage users to share knowledge and communicate with your identified super users. Super users and administrators in turn can reach multiple users by auto-messaging, blogs and wikis.
  • More features include scheduling, email integration, personal development planning and training goal setting.

We have learnt that the most effective training programs are a blend between online study and classroom interaction.

  • Online study encourages users to find solutions for themselves, share information with others, and collaborate to build communities of practice and foster individual and organisational development
  • Classroom training fills the gaps and allows users to receive guidance from experts who can reinforce the core objectives of the training program.

Over and above this, we build long term sustainability in several ways.

Firstly, we identify super users who become part of the training delivery process

facilitating and delivering training, and participating in building the communities of practice in KnowHow, to ensure long term skills sustainability.

Secondly, users are taught in the training process how to find what they need easily in KnowHow

so when they return to their desks support and follow-up training is minimalized.

Thirdly, if anything changes – KnowHow makes it effortless to update training and communicate changes to users after go live

meaning ongoing development of skills as the system evolves is easy.
